Bring your Copier Home with Cloud Connectivity

As Americans have been working from home during the COVID-19 pandemic, more companies will need safe and secure remote networking technology. That is according to a new survey, which suggests a large number of workers may be remote until the pandemic passes.

Remote work can have obvious advantages for lowering costs and employee satisfaction, but what if your work involves scanning, processing and managing paper documents? That kind of work can only be done with an enterprise-level scanner or multi-function device, right? The answer is, not necessarily.

The real answer is that a cloud-based print and scan management solution can control your scanning and print workflows, no matter where your people are located.

The most important benefit of adopting a cloud-based print and scan management solution may be that you don’t need to invest in or support a server-based software solution. That’s right, no onsite software necessary. That means the latest version of the software is always available, security and performance from anywhere.

There are a number of cloud-based print and scan solutions available, but we will focus today on uniFLOW Online, which also offers a central place for automatic filing and indexing scanned images. As you can see in the video below, pre-configured scan workflows are ideal for scanning batches of repetitive documents and operation records e.g. orders, invoices, picking lists and delivery notes. uniFLOW Online will detect different file types, split each batch and use the unique text-block OCR to create the document title or populate metadata. The user only needs to validate pre-populated data at the end.

With the My Print Anywhere feature in uniFLOW Online, print jobs follow users from device to device allowing print jobs to be released at any printer within a user’s location, even if working at another location.

Another advantage of cloud-based print management is that with built-in features for managing scanned or imported documents, you don’t need a Document Management System to intelligently separate documents. If your staff is working from home with a professional grade or home office sized device, they can scan, can batch and file documents, process them in the cloud and validate from their desk.

In addition, intelligent forms recognition ensures documents are recognized and pre-populated with the correct file name and metadata. The automatic data population makes time-consuming and error-prone manual filing and indexing obsolete. Thanks to pre-populated file names and metadata, it is fast and straightforward to search and retrieve documents when they are needed.

We hope this information is useful. If you have any questions or are interested in a multi-function device with cloud-based management tools, please contact us today or check out our Guide to Managed Print Services.
